Reminder About Adobe Fill & Sign, a Remote Work Tool

Happy Friday, DCFS Staff!

As we continue to work remotely, here is a reminder about a tool from Adobe you might find helpful in your work. The Adobe Fill & Sign feature can be used to complete and circulate documents for signature internally, within DCFS. While using Adobe Fill & Sign may not be acceptable for official documents where original signatures from multiple external customers or partners must be maintained on file with associated back-up materials, or for complex document packets requiring multiple signatures on multiple items such as HR onboarding documents; there are many needs within DCFS that can be addressed using this tool. Budget requests, travel authorizations, User ID requests, PES forms, signing correspondence and other various internal authorizations would all be appropriate uses. The new COVID-19 Temporary Alternate Work Schedule Request form that will be issued next week may be your first opportunity to apply this feature in your work!

INSTRUCTIONS (below and attached):

We all have access to Adobe Reader DC by clicking on the Microsoft icon in the bottom right corner of your our screens to open the menu then selecting the Adobe application. This will open a list of .pdf files stored on your computer; just select the file for the document you’d like to sign and open it. Once a document is opened, and Fill and Sign is selected from the Tools menu, a signature ribbon will appear across the top of the screen. After using the Ab tool to navigate the mouse and keyboard to fill in the form, the document is ready for signature. In the Fill & Sign toolbar, select Sign, select Add Signature, then chose to either type, draw or add a saved image of your signature, then select Apply. Certify your signature by selecting More Tools, and then Certificates,  to access the Digitally Sign option that will appear in the ribbon at the top of your screen. This will allow you to use a password to add a typed name and date/time certificate stamp to your document that will appear after the document has been saved.
